ParentCal ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our iOS application, our website, and related services (collectively, the "Service").
By accessing or using our Service, you agree to this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.
Information We Collect
Personal Information You Provide
When you register for and use ParentCal, we collect:
- Account Information: Your name and email address from your Google account
- Family Information: Names of your children and their schools that you voluntarily provide during onboarding
- Activity Preferences: Types of activities you want to track (sports, music, etc.)
Email Data
With your explicit consent through Google OAuth, we access your Gmail account in read-only mode to:
- Scan email messages to identify events related to your children's activities
- Extract event details such as dates, times, locations, and descriptions
- Identify email senders for sender management preferences
Important: We only read emails. We cannot send, delete, or modify your emails. ParentCal runs no server that stores your email; a compressed copy of the message text is kept on your device so you can search it and see the source of a detected event. You can revoke this access at any time through your Google Account settings.

- Device information, and browser information when you use our website
- IP address and general location
- Usage data and interaction with our Service
- Cookies and similar tracking technologies
How We Use Your Information
We use the information we collect to:
- Provide the Service: Scan your emails, identify relevant events, and display them in your calendar
- AI Processing: Use artificial intelligence to analyze email content and extract event information
- Personalize Your Experience: Filter and categorize events based on your children and preferences
- Improve Our Service: Analyze usage patterns to enhance functionality
- Communicate: Send service-related notifications and updates
- Security: Detect and prevent fraud, abuse, and security issues
AI Processing and Third-Party Services
ParentCal uses third-party artificial intelligence services to analyze your emails and extract event information. We currently use the following AI providers: Anthropic (Claude), OpenAI, and Google (Gemini). When processing your emails through these services:
- Email content is transmitted to these AI providers solely to detect and extract event information
- We minimize data sent by only transmitting email excerpts relevant to event detection
- We access these providers through their enterprise/API offerings, under which submitted data is not used to train their models
- We do not use your data, and do not permit these providers to use your data, to train generalized AI models
- Where an email includes image attachments, those images may also be sent to the AI provider so that details contained in a flyer or a scanned schedule can be read
- ParentCal operates no server that stores your email content
The use and transfer of raw or derived user data received from Google Workspace APIs to any other application, including the third-party AI providers named above, will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Data Security
We implement appropriate technical and organizational security measures to protect your information, including:
- Encryption of data in transit (HTTPS/TLS)
- Protection at rest by your device's built-in encryption
- Secure authentication through Google OAuth 2.0
- Your data is stored on your device and in your own iCloud account, not on a ParentCal server
However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
Data Sharing and Disclosure
We share your information only in the following circumstances:
Service Providers
- Google: Authentication and Gmail API access
- AI Providers (Anthropic, OpenAI, Google): AI processing services for event extraction, subject to Limited Use restrictions and not used for model training
- Apple (iCloud / CloudKit): Synchronisation across your own devices. The children and schools you set up, and the events ParentCal extracts, are stored in your personal iCloud account so they appear on your other devices. This data lives in your private iCloud database; we do not have access to it.
- Mixpanel: Product analytics. We send Mixpanel counts and categories describing how the app is used (for example, that a scan completed and how many events it found), identified by an internal account identifier. We do not send Mixpanel the contents of your email, the names of your children, your email address, or your location.
- Bugsnag: Crash and performance reporting. When the app crashes or encounters an error, Bugsnag receives diagnostic information such as the device model, operating system version, and the technical details of the failure. We do not attach your name or email address to these reports.
- Google Places: School search. If you use "find schools near me" during setup, your approximate location is sent to Google Places to return nearby results. It is not sent to us and is not stored.
- Vercel: Hosting for the getparentcal.com marketing website only. The iOS app has no ParentCal-operated backend, and Vercel receives no data from the app.
Legal Requirements
We may disclose your information if required by law, court order, or government regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
We do not sell your personal information to third parties for marketing purposes.
Data Retention
We retain your information as follows:
- Account Data: Retained while your account is active
- Event Data: Retained for up to 12 months or until you delete it
- Email Content: We operate no server that stores your email. A compressed copy of the message text is kept on your device so you can search it and see the source of a detected event. Message copies that are not linked to a saved event are deleted automatically after 60 days. Copies linked to a saved event are kept until you delete that event or delete your account.
When you delete your account, we will delete or anonymize your personal information within 30 days, except where retention is required by law.
Children's Privacy
ParentCal is designed for parents and guardians to manage their children's activities. The Service is not intended for use by children under 13 years of age.
While we collect names of children as provided by parents for the purpose of organizing family events, we:
- Do not knowingly collect personal information directly from children
- Use children's names only to filter and display relevant events to their parents
- Do not share children's information with third parties for marketing
- Allow parents to delete their children's information at any time
Your Rights and Choices
You have the following rights regarding your information:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate information
- Deletion: Delete your account and data at any time from within the app (Settings → Delete Account and Data), or request deletion of your personal information. Deleting your account does not cancel a paid App Store subscription — see the Terms of Service.
- Revoke Access: Disconnect Gmail access at any time through your Google Account settings
- Export: Request a portable copy of your data
- Opt-Out: Unsubscribe from marketing communications

California Privacy Rights (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- Right to know what personal information is collected, used, shared, or sold
- Right to delete personal information held by businesses
- Right to opt-out of sale of personal information (we do not sell personal information)
- Right to non-discrimination for exercising your CCPA rights
Cookies and Tracking
We use cookies and similar technologies to:
- Maintain your session and authentication state
- Remember your preferences
- Analyze usage patterns to improve our Service
The getparentcal.com website uses Google Analytics to measure site traffic and understand how visitors use the site. The ParentCal iOS app does not use cookies; it reports usage to Mixpanel and crash diagnostics to Bugsnag, as described under Data Sharing and Disclosure above.
You can control cookies through your browser settings. Note that disabling cookies may affect the functionality of our Service.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after any changes constitutes acceptance of the updated Privacy Policy.
